The Import Workflow

How we manage your agricultural import order from initial contact to successful port arrival.

Step 01

Initial Inquiry

Importers submit details via our web contact forms, email, or direct WhatsApp. To provide an accurate quote, please specify: 1) product variety (e.g. Swarna Parboiled), 2) broken percentage, 3) packing size (e.g. 50kg PP bags), 4) destination port, and 5) target delivery month.

Step 02

FOB/CIF Quote & Terms

Our sales team calculates pricing structures based on current crop rates and ocean carrier tariffs. We provide a comprehensive quote sheet (FOB Kakinada Port or CIF Destination Port) detailing payment methods, loading speed, and specifications sheets within 24 hours.

Step 03

Courier Sample Dispatch

Before closing the contract, we prepare and ship a physical sample (2kg to 5kg) of the exact rice or chilli grade via express couriers like DHL or FedEx. This allows you to verify grain length, moisture, color, and culinary behavior in your own kitchen or lab.

Step 04

Proforma Invoice & Payment

Once you approve the sample, we draft and sign a formal Sales Contract and Proforma Invoice. The buyer sets up the agreed payment mechanism: either opening an Irrevocable Letter of Credit (L/C) at sight or completing a Telegraphic Transfer (T/T) advance payment.

Step 05

Mill Sourcing & Printing

Our milling clusters begin cleaning, double polishing, and sorting the paddy. Concurrently, if you requested custom private labeling, we send the artwork files to the printing house to manufacture high-strength laminated PP or fabric bags under your brand logo.

Step 06

Quality Audits & Inspections

Once milling and packaging are completed, the bags are sample-tested. We arrange pre-shipment inspections through independent agencies (SGS, Intertek, or Bureau Veritas) to verify grain count, moisture ceilings, broken limits, and bag weight parameters.

Step 07

Stuffing, Loading & Fumigation

Bags are transported to Kakinada Port. Under strict supervision, bags are loaded (stuffed) into clean 20ft dry containers. The container undergoes mandatory Methyl Bromide fumigation, is sealed, and we secure a phytosanitary release from the government inspectors.

Step 08

Ocean Transit & Release

Containers are loaded onto the ocean vessel. As the ship departs, we collect the Bill of Lading (B/L) and compile the final document package. Upon receipt of payment balance, we release the original documents through bank channels or express post for your customs clearance.

Letter of Credit (L/C) at Sight

We accept **100% Irrevocable Letter of Credit (L/C) at sight**, issued by prime international banks and confirmed by reputable financial institutions. The L/C must allow transshipments and outline standard documentation requirements. This is the safest term for new importers.

Telegraphic Transfer (T/T Advance)

A standard payment structure: **30% Advance T/T deposit** to confirm the order and initiate milling/printing operations, with the **70% balance T/T** payable upon presentation of scanned copies of shipping documents (including the Master Bill of Lading) once loaded at Kakinada Port.

Mixed TT + LC Payment

For clients balancing cash flow: **30% Advance T/T deposit** to cover bag printing and initial milling procurement, with the **70% balance secured via L/C at sight**. This hybrid setup reduces bank confirmation costs while protecting manufacturing timelines.

However, the buyer is required to cover the express courier shipping fees (DHL or FedEx) to their destination country. We provide tracking codes immediately upon courier booking.

We primarily operate under **FOB (Free On Board)** loading ports in India (Kakinada or Chennai), where we handle domestic haulage and customs loading. Moisture is the biggest enemy of agricultural cargo. We inspect every container before stuffing. Containers must be completely dry, clean, free from holes, rust, or residual smells. We line the floors and walls with thick kraft papers and place moisture absorbing silica gel bags inside to control sweat condensation during sea transit.
